Terms and Conditions

Vanguard Scholars LLC. Based in Williamsburg, Virginia. Policy version terms-2026-10-08-final. Last updated October 8, 2026.

Policy dates

Last updated: October 8, 2026. Effective date: October 8, 2026.

1. Acceptance and who we are

Vanguard Scholars LLC is based in Williamsburg, Virginia. Mailing address: 425 N Boundary St #73, Williamsburg, VA 23185. Contact: contact@vanguardscholars.org.

These terms govern use of the website and paid services and must be made available before enrollment. The purchaser must agree to them before purchasing. A site visit or discovery-call booking is not acceptance of a paid-service agreement.

2. Services

Vanguard Scholars provides personalized academic mentorship for high school students. The published pathways are Foundations, Excellence and Fellowship. Services shown on the site include one-to-one strategy sessions, academic planning, study habits and accountability, writing and critical-thinking development, academic and career direction, college-application support, and the Vanguard Research Fellowship. Composition is a college-essay development add-on; Readiness is an adaptive SAT/ACT preparation add-on. The published packages include parent updates and a customized mentorship roadmap.

Your selected package and its published inclusions define the agreed service scope. Any additional work, scope change or additional charge must be agreed before work begins. Mentorship is educational support, not a promise of a particular result.

3. Eligibility and parents or guardians

Students must be at least 13. Students under 18 must have a parent or guardian enroll and pay. We do not knowingly collect personal information from children under 13. If we discover such information or receive a request about it, we delete it. There is no age gate and no date of birth is collected.

4. Fees, Stripe billing and automatic renewal

Foundations costs $1,200 per month; Excellence costs $2,000 per month; Fellowship costs $5,000 per month. Composition and Readiness each cost $2,000 at a flat price, rather than a monthly price. Billing is through Stripe. Monthly plans renew automatically and are charged monthly at the selected plan's price until canceled.

The first charge, billing date, full total and recurring-payment authorization will be disclosed before payment. A flat-price add-on is charged once per agreed purchase and does not itself renew. Price changes require 30 days' written notice and apply only to the next billing period, never to the current paid period. You may cancel before the new price is charged.

See the Refunds and Cancellation Policy for the complete cancellation and refund rules.

5. Cancellation, refunds and payment disputes

Delivered work includes any session that has been held and any deliverable—including written feedback, plans or materials—that has been sent or made available to the client.

Email contact@vanguardscholars.org to cancel. By default, cancellation takes effect at the end of the current paid monthly billing period. No further recurring charges occur after the effective date. We will email the effective date. If you choose to stop services before the paid period ends, services end early and no refund is issued for the remainder of that period.

Delivered work is not refundable. Proportional refunds for undelivered prepaid services apply only when Vanguard cancels, suspends services without client fault, or cannot deliver the services—not when a client chooses to stop early. Add-ons are fully refundable before work starts; after work starts, the same delivered-work definition and provider-triggered proportional-refund rules apply. Duplicate or erroneous charges will be corrected or refunded.

Refunds are issued to the original payment method via Stripe. Once issued, they typically take 5-10 business days to appear. This is an estimate, not a guarantee.

Please contact us about a payment problem before filing a chargeback so we can investigate and try to resolve it. This request does not restrict your rights to dispute a charge with Stripe, your bank or your card issuer, or require you to miss their deadlines.

The Refunds and Cancellation Policy contains the detailed rules.

6. Scheduling and bookings

Discovery Calls are booked through Calendly. Calendly stores the information entered into its booking service; this website currently does not import or store Calendly booking data.

Request rescheduling by email at least 24 hours before a mentoring session. With the required notice, reschedule within the paid service period, subject to mutually available times. A session missed without the required 24-hour notice is forfeited and is not made up or refunded. Reasonable exceptions may be made for emergencies. No separate no-show fee is charged. If Vanguard cancels a session, we offer a replacement or a refund for the undelivered session.

7. No guarantee of results

We do not guarantee admissions, scholarships, grades, test scores or other outcomes.

Results depend on the student's participation and circumstances, and on decisions made by schools, testing bodies and other third parties. The absence of a guaranteed outcome does not excuse failure to provide agreed services.

8. User responsibilities and acceptable use

Provide accurate information needed for the services, attend agreed sessions, communicate respectfully and participate in the work. Do not harass others, misuse another person's information, interfere with the website, break applicable law, submit plagiarized work or present someone else's work as your own. Students retain responsibility for their submissions and compliance with school, application and testing rules.

9. Intellectual property

We retain rights in our original content and materials. Clients receive personal, non-commercial use of the materials provided for their learning.

Do not redistribute or sell these materials without permission. We do not claim ownership of a student's original essays, research or other work. Third-party materials remain subject to their respective rights and licenses.

10. Third-party services

Calendly handles booking; Stripe handles payments. Their own terms and privacy policies apply to their services. The site also uses remote Google Fonts, functional blog content/CDN requests, and optional Opinly analytics as described in the Privacy Policy and Cookie Policy.

Third-party availability is not fully within our control, but using a third party does not remove our responsibility to provide the agreed mentorship services. Any additional third-party platform will be identified before you are required to use it.

11. Warranties and limitation of liability

To the extent permitted by applicable law, the website and educational materials are provided without additional promises of uninterrupted operation, error-free content or fitness for a particular outcome, and without implied warranties beyond those required by law. Nothing excludes mandatory consumer protections or the obligation to deliver agreed services.

To the extent permitted by applicable law, we exclude indirect or consequential losses and limit liability arising from the affected services to the fees paid for those services during the preceding three months, including any affected add-on. This cap does not limit refunds due or liability that cannot lawfully be limited, including fraud, willful misconduct or gross negligence where applicable.

12. Suspension or termination by us

We may suspend or end services for a serious acceptable-use breach, nonpayment or a genuine safety concern. We give written reasons and a reasonable opportunity to resolve a remediable issue, except where immediate action is necessary for safety or required by law. Future recurring charges stop on termination. Proportional refunds for undelivered prepaid services apply when Vanguard cancels, suspends without client fault, or cannot deliver, as stated in the Refunds and Cancellation Policy. We do not suspend merely because a client raises a complaint or exercises lawful consumer rights.

13. Governing law and dispute resolution

Virginia law governs, except where mandatory consumer protections require otherwise.

First contact contact@vanguardscholars.org to attempt an informal resolution. If unresolved, either party may use a court with lawful jurisdiction. These terms do not require mandatory arbitration, a class-action waiver or an exclusive court venue. The informal process must not prevent urgent relief, consumer remedies or compliance with legal deadlines.

14. Changes to the terms

We publish the effective date and last-updated date and notify enrolled families of material changes before they take effect. Changes do not apply retroactively, and an already-paid service scope is not changed without agreement. Price changes require 30 days' written notice and apply only to the next billing period.

Effective date: October 8, 2026. Last updated: October 8, 2026.

15. Privacy and contact

Read the Privacy Policy for data handling and retention. You can make a request on the data request page or email contact@vanguardscholars.org. Mailing address: 425 N Boundary St #73, Williamsburg, VA 23185.
